How to Automate WhatsApp and Your Other Chats Without Losing the Human Touch

You can automate your messages and still sound like your business. The difference is in how you write the automatic replies, when you hand a conversation to a person, and how carefully you send messages the customer did not just ask for.

Here are seven principles. They apply to WhatsApp, Instagram, Messenger, email and your website chat. The WhatsApp rules from Meta, the company behind WhatsApp, are explained along the way.

1. What should the first automatic reply say?

Start by letting the customer know someone received the message.

Weak reply:

Welcome to our clinic. Choose an option: 1. Appointments 2. Hours 3. Location.

Better reply:

Hi, thanks for writing to the clinic. We got your message. Tell us a bit about what you need and we will help you.

The second one treats the customer as a person. It also starts a conversation instead of asking for a choice from a menu.

2. How do I write like a person, not a policy?

Most automatic messages read like they came from a legal department. Read yours out loud before you turn them on. If you would not say it to a customer, rewrite it.

Avoid:

  • Passive voice, like "Your request has been received".

  • Corporate phrases, like "We will endeavor to respond within business hours".

  • Generic greetings, like "Dear valued customer". Use:

  • Active voice, like "We got your message".

  • Plain language, like "We will reply tomorrow morning".

  • The customer's name when you have it.

3. Should I say that a reply is automatic?

Yes, when it matters. If a reply goes out at night, say so.

You wrote to us outside our hours, Monday to Friday, 9 a.m. to 6 p.m. We got your message and will reply first thing tomorrow.

Customers can tell the difference. Most prefer a clear note to pretending someone is typing right now.

4. How do I let a customer reach a person?

Every automatic conversation needs an exit to a person. Choose keywords such as "agent", "person" or "help", and make the assistant pass the conversation to your team when it sees one. Do not trap anyone in a loop.

A fallback message can say:

I did not understand that. Would you like to talk to someone on our team? Write "agent" and we will pass you over.

In Simplixity Chat, the assistant hands the conversation to a person when the customer asks for one or when one of your keywords appears. The person sees the reason and the history. Simplixity Chat is not yet open to the public.

5. When can I send a message first on WhatsApp?

On WhatsApp, a 24-hour window opens when a customer writes to you, and it restarts each time they write again. Inside it you can reply with normal messages. Outside it you can only send message templates that Meta has approved, according to Meta's developer documentation.

You can only message people who opted in to hear from you. Meta also charges per delivered template message, and the rate depends on the message category and the customer's country. Check Meta's current rate list before you plan a campaign.

Keep templates useful:

  • Appointment reminders.
  • Confirmations the customer asked for.
  • Status updates on an order.

Do not send promotions every day to people who never signed up for them. Meta looks at message quality when it decides whether to raise your sending limit, and unwanted messages do not help.

Simplixity Chat runs WhatsApp campaigns with approved templates. A customer who writes STOP or BAJA stops receiving them.

6. How long should an automatic message be?

Short. If it runs past three or four lines, it is probably too long. Split the information into two short messages, or link to a page for the full menu or price list.

7. How often should I review my automatic replies?

Once a month. Put a reminder in your calendar and:

  • Read your replies as if you were the customer.
  • Fix anything outdated, like hours or services.
  • Look at which questions the assistant could not answer.
  • Simplify anything confusing.

A clinic that adds a new service in March should not still answer with February's list in April.

Frequently asked questions

Will my customers think they are talking to a robot? Not if the replies sound like you, say what they are when it matters, and offer a person quickly.

Can I automate everything? You can, but you should not. Keep complaints, exceptions and delicate conversations with people.

What is a message template? A message with fixed text that Meta approves before you send it. WhatsApp requires one when you write to a customer outside the 24-hour window.

Do I need permission to send templates? Yes. Meta's documentation says you can only message users who opted in.

Set the monthly reminder now, and pick the first date on your calendar.
